How does ProfitMaxx differ from my accounting program?

Accounting programs track history.  ProfitMaxx provides daily information that allows you to manage your service department in order to actually affect the outcome of the month.

What trades are able to utilize ProfitMaxx?

Any trade with a service department can utilize ProfitMaxx.  Currently we have HVAC, plumbing, electrical, irrigation and pool-and-spa contractors on the program.  Every service company will experience substantially increased profitability in their service department when using the ProfitMaxx software.

What kind of help is available to learn the system?

Different individuals learn in different ways.  A user can press the F1 key at any time and view a detailed explanation of every number shown on the screen.  We also provide a full 160-page manual, if you prefer to read and learn.  Others may wish to listen to and watch the CD audio Power Point tutorials, which walk the user through every area of the ProfitMaxx software program.

Won’t my tech fake the time on the timesheet if they want to stop for breakfast along the way to their next call?

ProfitMaxx tracks every minute of every day.  If the tech tries to fudge the times it will instantly show up as poor performance somewhere else.  Normally within two weeks the technician realizes there is no place to hide.  They also soon realize their monthly bonus is based on performance, so they begin recording proper times.

What time periods do the ProfitMaxx reports cover?

Reports may be run over any period of time the user chooses.  You can view yesterday's productively and/or look at he entire last year when it comes time for appraisals.  Also, each report can show all technicians' performances or you can select which individual tech's report you want to see.

Will we be able to track our service work geographically?

The user creates location codes as part of the setup.  This allows the user to track their service work by town, subdivision or even via streets.

Can we use ProfitMaxx for our installers?

ProfitMaxx is strictly for the service department.  The long-term goal is to develop a similar product for the installation department.

How do we utilize the points generated by the Tech 500 Bonus Program?

The accumulated points are generic in the sense that the user can be creative.  Some companies pay a dollar point.  Others set a threshold of perhaps 350 points and pay for all points over the 350.  Others accumulate points and provide a gift catalog at the end of the year while still others allow the tech with the most points to drive the next new vehicle that is purchased.  ProfitMaxx allows you to creative!

Can we customize the timesheet?

The only area of the timesheet that is user defined is the four pieces of equipment.  This allows each trade to input what is applicable to them (furnace, sprinkler system, hot water heater, etc.)  The remainder of the timesheet is set.

How long does it take to learn data entry?

Anyone can learn data entry in less than 10 minutes

How long does it take to enter a technician’s timesheet?

Initially it may take 4-5 minutes to enter a technician’s daily timesheet.  Within a couple weeks it should take no longer than 3 minutes to enter each tech's time into the system.

How may service techs are needed to justify the purchase of ProfitMaxx?

ProfitMaxx will make you money no matter how may techs you have.  We have one ProfitMaxx user that on has 60% of one technician.

Will ProfitMaxx replace our time card?

Yes.  ProfitMaxx produces a summary of each tech's time including earned spiffs for sales leads generated and maintenance agreements sold/renewed.  The summary report can be handed to payroll in place of the usual time card.

Does ProfitMaxx have Help Screens and if so, who wrote them?

There are very detailed help screens within ProfitMaxx.  The F1 key can be pressed when viewing any/every screen.  Bob Cook, the founder and CEO of Preeminent Technologies (the company that produces ProfitMaxx) wrote every help screen.  Bob has over 25 years of experience in the industry and he writes in a way that anyone can understand.

How difficult are the reports to read?

They are not difficult -- reports are laid out in a way that anyone can read.  If you have a question on any number on the screen, simply press the F1 key for a full explanation.

How much does ProfitMaxx cost?

The full cost of the ProfitMaxx software is $4,995.  The price includes the software and free technical support.  You may also sign up for a free e-mail implementation program that will send you e-mails each week, for 60 days, alerting you of what needs to be covered in each weekly service meeting.

Can we lease the program?

The program may be leased, with no down payment, for 24 or 36 months.  The cost runs about $180 to $240/month.

What is the projected return on my investment?

If one service tech can turn 45 minutes a week from non-billable to billable, it will pay for the program in nine months or less.  Keep in mind non-billable time is only one of the 24 KPIs.  The potential increased profit within your service department is huge!

Why is ProfitMaxx a standalone software program?

ProfitMaxx is a standalone program by design.  Since it is a standalone program it does not interfere with any of your current accounting or dispatching programs.

We do residential and commercial work.  Will the software track both?

Each service call is recorded as either residential or commercial work.  Reporting can be run on just residential work, just commercial work or a combination of both to see the technicians overall performance.

Do we have to be on Flat Rate Pricing to use ProfitMaxx?

The money received must be entered on the timesheet.  Flat rate pricing systems allow the diagnostic fee and repair cost to be immediately entered.  However, time and material system will also work, but the repair costs must be entered into ProfitMaxx in a timely manner.

What is a KPI?

KPI is short for Key Performance Indicator.  KPIs are what the technician’s performance is measured against.

Where so do the 24 KPI’s “goals” come from?

The 24 KPIs were determined by reviewing over 30,000 service tickets.  The KPIs are solid numbers; however if the company has justification for changing the numbers, ProfitMaxx allows that to happen.

How long does the implementation process take?

A good rule of thumb is 60 days.  Data will be collected during the initial 60 days, but it usually takes about 60 days for the techs to become very familiar with the system, therefore producing solid data for review.

Tech 500 Bonus System – Why are the techs only measured on 9 of the 24 KPIs?

The nine (9) KPIs used in the Tech 500 Bonus System were selected because the tech has 100% control over all nine areas.  No one can mess up the 9 KPIs used except the tech.

How often do updates come out?

Updates come out as users provide suggested changes that are incorporated into the software.

Yes.  There is an annual renewal fee of $500 which covers continued technical support and any/all updates as they come out.
